Account & Access

Access your school portal at [schoolname].edhubai.com using your email and password. First-time users will receive an invitation email with a setup link. Staff members, teachers, parents, and students all sign in at slate.edhubai.com — Slate automatically routes each user to their role-specific view (/admin, /teacher, /parent, or /student). School principals configure modules and settings at workspace.edhubai.com.

Click "Forgot Password" on the login page, enter your email address, and we will send a password reset link. The link expires after 1 hour for security. If you do not receive the email within 5 minutes, check your spam folder or contact your school administrator. Administrators can also manually reset passwords from the user management panel.

Yes! School administrators have full control over user roles and permissions. EdHub AI includes built-in roles (Super Admin, Admin, Teacher, Parent, Student) with customisable permissions. You can create custom roles, restrict access to specific modules, control data visibility, and set up approval workflows. All permission changes are logged for audit purposes.

All reports are exportable to PDF, Excel, and CSV. Professional and Enterprise plans include custom report builder and automated report scheduling.

Billing & Payments

We accept all major credit and debit cards (Visa, Mastercard, American Express), direct debit (UK only), bank transfer (for annual plans), and purchase orders (Enterprise plans only). Payments are processed securely via Stripe. All prices are in GBP and exclude VAT. You can manage payment methods and view invoices in your account settings.

EdHub AI bills monthly or annually based on your chosen plan. Monthly plans are billed on the same day each month. Annual plans are billed upfront and save 20%. Your subscription includes unlimited users within your student count limit. If you exceed your plan limit, we will contact you to upgrade. Invoices are sent via email and available in your account portal. Failed payments trigger automatic retry and email notifications.

We offer a 30-day money-back guarantee. If you are not satisfied within the first 30 days, contact support for a full refund. After 30 days, monthly subscriptions can be cancelled anytime (no refund for partial months). Annual subscriptions are non-refundable after 30 days but can be cancelled to prevent auto-renewal. Enterprise contracts have custom terms defined in your agreement.

Yes! You can change plans anytime from your account settings. Upgrades take effect immediately, and you are charged a prorated amount for the remainder of your billing period. Downgrades take effect at the end of your current billing period. If downgrading means exceeding student limits, you will need to archive students before the change takes effect. EdHub AI is a cloud-based platform accessible from any device with a modern web browser (Chrome, Firefox, Safari, Edge - latest 2 versions). Minimum recommended: 4GB RAM, 10 Mbps internet connection. Mobile apps require iOS 13+ or Android 8+. For optimal performance, we recommend 20 Mbps internet for schools with 100+ concurrent users. No special hardware or software installation required.

Yes! Professional and Enterprise plans include API access. Our REST API allows you to integrate EdHub AI with other school systems (MIS, finance, library, transport). API documentation is available at docs.edhubai.com/api. We provide client libraries for JavaScript, Python, and PHP. Rate limits apply (1000 requests/hour for Professional, unlimited for Enterprise). Webhooks are available for real-time event notifications.

EdHub AI integrates with popular education and productivity tools: Google Workspace and Microsoft 365 (SSO, calendar sync), SIMS, Arbor, Bromcom (data import/sync), Stripe (payment processing), Twilio (SMS notifications), Zoom and Teams (virtual classrooms), Google Classroom and Moodle (LMS integration). You can export data anytime from Settings > Data Export. Choose from multiple formats: CSV (for spreadsheets), JSON (for developers), PDF (for reports and records). Export options include: all data (complete school database), specific modules (students, grades, attendance), date ranges, and filtered data. Exports are generated in the background and emailed as secure download links. GDPR-compliant data exports are available on request.

Our platform includes: data processing agreements (DPA), right to access, rectification, and erasure, data portability tools, consent management, audit logging, and breach notification procedures. All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Passwords are hashed with bcrypt (industry standard). JWT tokens are used for authentication with short expiry times. Database connections are encrypted and restricted to authorised services only. We use AWS infrastructure with encryption at storage and network levels. Regular security audits and penetration testing ensure ongoing protection.

We perform automated backups multiple times daily: continuous replication (real-time database synchronisation), hourly incremental backups (last 24 hours), daily full backups (retained for 30 days), and weekly backups (retained for 1 year). Backups are stored in geographically separate regions. We test backup restoration monthly. Enterprise customers can request custom backup schedules and retention periods. Point-in-time recovery is available for the past 30 days.
