What it does

Three actions, zero context-switching. The add-in is a thin lens over Gateway — no separate login, no separate database.

See matched applications

Open any message from an applicant or guardian and see the matching Gateway application(s) inline — stage, year group, deposit status, and recent activity.

Log emails to Gateway

One click to attach the message to an applicant or guardian record. Subject, plain-text body, and timestamp are saved on the application timeline.

Use templates

Insert school-approved reply templates with merge fields (applicant name, year group, intake) directly into your draft.

Install

Admin installs are supported on both marketplaces. Talk to your Google Workspace or Microsoft 365 admin to deploy to your whole school.

Gmail

Distributed through the Google Workspace Marketplace. Verified by Google. Compatible with Gmail on web, Android, and iOS.

How it works

Four steps from install to first match. The add-in shares your existing EdHubAI session, so admissions context is one click away.

    Install

    Install from the Google Workspace Marketplace (Gmail) or Microsoft AppSource (Outlook). Admin installs are supported.

    Sign in

    Click the EdHubAI icon in your message sidebar. A popup opens login.edhubai.com for SSO. School context is auto-selected if you only belong to one school.

    Open a message

    Open any email in Gmail or Outlook. The add-in fetches matched applications based on the sender address — no manual search needed.

    See matches

    Matched applications render in the sidebar. Click any match to jump to Gateway, or use the inline actions to log the email or reply with a template.

Privacy & data

  • When you open a message, we receive the sender address only — not the subject, body, attachments, or recipient list.
  • Sender address is used in-memory to look up matched Gateway applications and is not persisted.
  • Email content is stored only when you explicitly click Log to Gateway. Attachments are never uploaded.
  • The add-in operates under your school's existing Data Processing Agreement with EdHubAI. No separate contract is required.
  • Uninstalling from Gmail or Outlook revokes the OAuth grant immediately.

Troubleshooting

Common issues and quick fixes. If your problem isn't listed, contact support below.

Sign-in popup blocked

Browsers may block the popup that opens login.edhubai.com. Allow popups for that origin in your browser settings, then click Sign in again. On Outlook Web, also allow popups for outlook.office.com.

No matches showing

The add-in matches on the sender address. If you don't see a match, verify the sender email exists as a guardian or applicant on at least one Gateway application in your active school. Use the search bar in the add-in sidebar to look up by name or application ID instead.

Token expired

Sessions expire after 24 hours. When you see “Session expired”, click Sign in again in the add-in header. Your previous logs and templates are preserved.

School picker keeps appearing

If you belong to multiple schools, the add-in remembers your last selection per device. Clear the picker by signing out from the add-in header and signing back in with the correct school.

Cookies blocked

The add-in stores its session token in a first-party cookie on api.edhubai.com. If you have third-party-cookie blocking enabled, add this domain to the exception list. Strict tracking-protection in Firefox / Safari may also block the sign-in flow.
